Key Tasks and Duties: • To maintain the relevant paper and electronic files, and to maintain accurate administrative records. • To ensure that indices are up to date, and that obsolete versions of controlled documents are removed and archived. • Having proper knowledge in management and administrative functions are essential. • Must possess the ability to coordinate and plan strategically. • Proficient in communication and be able to maintain critical thinking. • Manages all commercial and technical documents for the department. • Capable of implementing processes and tools, providing system reports, maintaining and updating electronic information systems, distributing documents, and ensuring accuracy of all documentation are all essential functions of a document controller. • Must ensure regulatory procedures and changes are followed is also an essential part of the job junction. • Should adhere to security and confidentiality guidelines, such as locking cabinets or shredding certain documents after creating electronic copies. • Should possess strong communication and interpersonal skills. • Should possess excellent oral and written communication skills. • Fosters a culture of compliance with formal procedures for production and control of documents and an understanding of version control and document and sample archiving. • Facilitates effective team interaction. • To promote quality awareness and compliance with respect to documentation management and document and sample archiving. • Possess the attitude to make the effective running of the organization’s primary concerns. • Possess planning and organizational ability • Adapts quickly to change and works well under pressure. • Understands the professional development process and becomes actively involved by setting challenging goals and meeting them through continuous learning. • Seeks input from mentors and supervisors. • Actively applies feedback received to day to day work and strives to improve performance. • Accurately completes and submits status reports in a timely manner. • Complies with all company policies and procedures. • Keeps workroom neat, organized and secure. • Reviews the status reports of team members and addresses issues as appropriate. • Ensure that all ZAPIA EHS policies are followed. Academic and Professional Qualification: • Diploma Degree in Business Administration • Ability to utilize multiple word processing and database applications including MS Office applications Word, Excel, Power Point, Visio, Access, as well as Adobe Acrobat, etc. Experience: • At least 3 years’ experience in an office with legal, hospitality and procurement exposure • Experience of administering a quality management and change control management • Experience and knowledge of document control systems.

Domain Skills and Knowledge Required:  Coordinates the activities of Document Control, including distribution of documents, tracking and reporting on document review progress Work independently to facilitate ZAPIA’s group activities.  Designs and map different activities processes under the direction of the line manager.  Reviews and proofread documents for consistency of document format and system concerns.  Uses department databases to track and manage and control issued documents.  Performs document control & Quality management activities.  Reports on the performance of the document control system for review and as a basis for improvement of the documents control system.  Complies and maintain control records to verify completeness and accuracy of data.  Posts changes to computerized or manual control records, and maintains related files.  Prepares reports & Minutes of Meetings.  Prepares reproduction of documents if needed.  Undertakes control of electronic and hard copy documentation  Assures compliance with document control, standards, policies and procedures, highlighting any errors or omissions.  Coordinates progress document reviews  Creates draft documents based on outlines created by others and based on standard templates  Maintains and review of document management process  Assists in the completion of as built documentation.  Executes the responsibilities maintaining high level of ethical, moral and professional standards.  Ensures that the overall activities in the organization meet the requirements of quality management, health and safety, legal stipulations, environmental policies and general duty of care.  Strives to keep up to date with the latest developments in the filed of departmental and organizations administration, and in the field of expertise.  Performs other duties as assigned.
