5.A DUTIES AND RESPONSIBILITIES:
1. Assist line manager in searching for external service providers related to recruitment and selection activities for best services and prices
2. Prepare and maintain a database of recruitment service providers including contact details, prices and specializations
3. Correspond and follow up with recruitment agents to source suitable candidates, as directed by line manager
4. Assist manager in producing RFPs and contracts with consultants and recruitment agencies
5. Collect and compile all manpower and recruitment requests raised by departments into a manpower plan for line manager review and approval
6. Process all recruitment requests raised by departments as per manpower plan and recruitment policies and procedures
7. Develop, maintain and update candidates database from applications sourced through recruitment agencies, career websites, career fairs, universities and government career portals
8. Coordinate and organize job fairs with educational institutions and career fairs organizers as per ADX and HR policies and procedures
9. Keep manager updated on all new government initiatives and legislations regarding recruitment and Emiratization
10. Assist manager in the implementation of the Emiratization plan through searching and sourcing out local potential and qualified candidates for all ADX vacancies
11. Prepare job vacancies announcements for posting on ADX career portal, newspapers and other career websites and reviews it by line manager for approval
12. Source out potential candidates resumes from existing database and shortlists qualified applicants as per set hiring criteria
13. Coordinate and organize interview process such as communications with candidates and hiring panel, schedule interview time and filling of assessment interview form
14. Organize assessment centers in coordination with relevant external government entities and consultants or internally as directed by line manager
15. Coordinate and schedule any Recruitment and Selection tests for shortlisted candidates as applicable
16. Provide candidates’ feedback on recruitment and interview results
17. Collect all necessary documents from new employees for hiring purposes and for personnel files
18. Coordinate and organize hiring process as per HR recruitment policies and procedures such as preparing requests for approvals, conducting reference checks and collecting health, police and security clearances
19. In coordination with PAS, organize oversees hiring process including hotel reservations, visa, tickets, labor cards and other necessary employment documentations
20. Prepare employment offers and contracts as per HR recruitment policies and procedures
21. Prepare new hires’ welcome package, Onboarding and Orientation program in coordination with HR team members and as directed by line manager.
22. Archive and file all recruitment documents as per HR filing system
23. Attend to incoming recruitment and vacancies queries.
24. Send out "Probation period assessment form" to line managers /Head of Departments, and issue the “Confirmation letter of appointment” in case of successful probation or refers the subject to Head of HR for termination procedures
25. Compile data from recruitment records and prepare HR reports and statistics in an accurate and timely manner as and when required by line manager.
26. Update all Recruitment and Selection related information on HRIS
27. Enter all employee data on the HR system upon hiring
28. Provide Compensation & Benefits officer with new employee documents prior to payroll processing
29. Assist line manager in the development of recruitment and selection strategy to attract qualified employees
30. Assist in the development and enhancement of ADX website by suggesting updates and changes to IT department as directed by line manager

PROFESSIONAL QUALIFICATIONS, PROFICIENCIES AND/OR LICENSES:

Bonus Qualification/Certificate:
• Professional Human Resources qualifications (e.g. Associate Member CIPD or PHR/HRBP/HRMP from SHRM)
• HR Related Training Certificates
Language Proficiency:
• Advanced level of English language (Written and spoken)
• Advanced level of Arabic language (Written and spoken)
Computer Program Proficiency:
• Advanced level of Microsoft Office (Word, Excel, PowerPoint, Outlook)
Laws and Regulations:
• Basic understanding of the UAE Employment Laws and Regulations
• Intermediate understanding of Abu Dhabi & Federal Employment Initiatives
