Senior Coordinator

Job Description

• Manage the executive's calendars, interact with internal and external executives, consultants and assistants to coordinate meetings.
• Prepare, Draft and execute letters to all stakeholders as requested in both English and Arabic (GOs and NGOs).
• Translate documents, reports, presentation both ways (Arabic - English) and (English - Arabic)
• Coordinate and arrange all business travel logistics including flights, hotels, meetings, etc… with full detailed business trip pack for each business trip
• Work closely with executives, Marketing & Communication and PR team on press releases, announcements, exhibitions, global media events and other business development logistics
• Work closely with executive to ensure marketing materials are drafted, translated, printed and ready for all marketing and media, or executive events.
• Coordinate matters related to Abu Dhabi Sustainability Week (ADSW) in relationship with department’s exhibition stand, collaterals, side events, panels, meetings, MOU signings, etc….
• Screen incoming emails and distribute them to relevant team members for action or follow up.
• Assist the Director (and team) with preparation of presentation materials.
• Handle unit / function routine correspondence.
• Order office supplies as needed.
• Direct all incoming calls to appropriate party promptly and efficiently.
• Communicate and handle incoming and outgoing electroniccommunications on behalf of the executive
• Screen incoming emails and distribute them to re relevant stakeholders foraction or follow- up
• Screen calls, inquiries and requests and handle them professionally
• Meet and greet visitors/delegations and other levels of seniority
• Assist executive with preparation of presentation materials, documents, and contracts as needed
• Review and summarize miscellaneous reports and documents; preparebackground documents and outgoing mail as necessary.
• Take meeting minutes and distribute to appropriate members
• Prepare for meetings, agenda and follow up action items.
• Ensure document control processes are followed.
• Prepare and execute all travel documents, intern al requirements andentries into Oracle as needed
• Order supplies and equipment as needed.
• Implement office protocols and inform others of requirements whenneeded
• To be focal point and assist the team to coordinate performance management scheduling, training requirements and follow up
• Able to perform BU Oracle functions for team (OTR, reports, teamvacation calendar, etc)


• Ability to communication in written and verbal at all levels professionally
• Ability to prioritize and organize through excellent calendar management skills, including coordination of complex executive meetings
• Proven ability to work in complex and fast paced environment
• Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
• Ability to demonstrate previous experience in providing high quality of executive support
