Job Description

The Senior Officer Finance provides support and leadership in the key areas of finance and administration. This position is required to work closely with other academic and administrative units to support their requirements, particularly in the areas of purchasing, financial reporting and budget management.


• Maintains invoice verification and reports on the administered items.
• Manages various registers that support the function of the college.
• Ensures adequate cash flow to meet the organization’s needs.
• Assists with the preparation and analysis of budget item.
• Implements financial policies and procedures.
• Establishes and maintains cash controls through receiving, recording and depositing college funds.
• Establishes, maintains and reconciles the general ledger and bank account.
• Maintains a fixed asset system.
• Maintains an internet banking system to pay vendors.
• Completes and tabulates primary and source data for external auditors.
• Monitors petty cash transactions through maintaining document support and approvals.
• Establishes, and maintains supplies accounts.
• Processes supplier invoices. Assumes recording of accounts payable.
• Ensures transactions are properly recorded and entered into the computerized accounting system.
• Prepares monthly financial statements.
• Prepares quarterly reports and reports on variances.
• Maintains financial files and records.
• Issues and codes purchase orders
• Maintains confidential employee files.
• Manages the filing, storage and security of documents.
• Responds to financial inquiries.
• Assures accurate account coding and recording of accounts receivable, assuring that all amounts due are billed and collected.
• Performs reconciliation of College records with Directorate records and makes recommendation for handling variations.
• Manages all contract services including catering, cleaning and security.
• Provide logistical support for fund raising events.
• Ensure the effective prioritising and allocation of work, maintenance of standards, quality of work and achievement of targets and objectives and to ensure that the department’s statutory responsibilities are properly discharged.
• Run periodic bank reconciliation on ERP system.
• Vendor and customers reconciliation
• Related parties reconciliation and raised debit / credit note whenever required.
• Performs other duties assigned by the Finance Manager.
